Applicant & worker privacy notice

1. About this notice

This notice adds to our privacy policy for people who apply to Klusa Workforce and for the workers we employ and assign to clients. We apply the same privacy standards to worker information, even where privacy law treats employee information differently.

2. When you apply

We collect your contact details, the work you want, your availability, experience, certifications, résumé, how you would get to work, and whether you are legally entitled to work in Canada. We use it to assess your application, contact you and match you with suitable work.

Please do not include your Social Insurance Number, date of birth, photos, or health information in your application. We will ask for what we need, when we need it.

3. When you join us

When you are hired, we also collect what we need to employ and pay you: identity documents, Social Insurance Number, tax forms, banking details for direct deposit, emergency contact, certificates, and records of your hours, pay, assignments and any workplace incidents.

4. What clients see

When we propose or assign you to a client, we share only what is relevant to the role, such as your name, relevant experience, skills, certifications and availability. Clients may share feedback with us about your work. We never share your Social Insurance Number, banking details or health information with clients.

5. References and background checks

We contact references only with your permission. Background checks are done only when a role requires them and only with your express written consent, and the results are shared with the client only as needed for that role.

6. Legal requirements

As your employer, we share information with government bodies as the law requires, such as the Canada Revenue Agency, the Workplace Safety and Insurance Board, Employment and Social Development Canada (for Records of Employment), and the Ministry of Labour, Immigration, Training and Skills Development.

7. How long we keep it

Applications from people we do not hire are kept for up to 24 months so we can contact you about future work, unless you ask us to delete them sooner. Employment and payroll records are kept for the periods the law requires.

8. Your rights and contact

You can ask to see or correct your information, or withdraw your application, at any time.
